Requesting Time Off (Employee Guide)
Accessing Time Off
Click Time Off in the employee portal navigation. The time-off page has two tabs:
- My Time Off: Your balances, requests, and request form
- Who's Off: See which coworkers have upcoming approved time off
Checking Your Balances
At the top of the My Time Off tab, you will see your Time Off Balance cards showing:
- Each leave policy you are assigned to (e.g., Vacation, Sick Leave)
- Your available balance (days or hours depending on the policy)
- For accrual-based policies, how much you have accumulated
Click History on any balance card to see a detailed ledger of all transactions (grants, accruals, usage, adjustments).
Submitting a Request
- Click Request Time Off
- A form opens where you fill in:
- Time Off Type: Select the leave policy to use (e.g., Vacation, Sick Leave)
- Start Date: The first day of your time off
- End Date: The last day of your time off
- Notes: Optional notes for your manager (e.g., reason for the request)
- The form automatically calculates:
- The duration of your request (in days or hours)
- Your available balance before and after the request
- Click Submit
If the request would exceed your available balance, CrewHR shows a warning. For tracked policies (like unpaid time off), there is no balance limit.
Request Status
After submitting, your request appears in the My Requests section with one of these statuses:
- Pending: Waiting for your manager to review
- Approved: Your manager approved the request and your balance has been deducted
- Denied: Your manager denied the request (no balance deducted)
- Cancelled: The request was cancelled (by you or your manager)
Cancelling a Request
If your plans change, you can cancel a pending request before it is reviewed. Once a request is approved, contact your manager to cancel it.
Who's Off
The Who's Off tab shows upcoming approved time off for your coworkers. This is helpful for coordinating schedules and knowing who will be out.
Tips
- Request early: Submit time-off requests as far in advance as possible so your manager can plan coverage
- Check your balance first: Make sure you have enough available time before submitting
- Add notes: If you are requesting time off for a specific reason, a brief note helps your manager understand the context
