    What Is the AI Assistant?

    The AI assistant is a chat-based tool built into CrewHR that lets you manage scheduling and ask questions using natural language. Instead of navigating menus and forms, you can type requests like "Who is available to work this Saturday?" and get instant answers.

    Accessing the Assistant

    Click the AI Assistant icon in the top navigation bar. This opens a full-page chat interface.

    The AI assistant must be enabled for your organization. If you do not see the icon, go to Settings > Integrations > AI Agent and toggle it on.

    The Chat Interface

    The assistant has two main areas:

    • Conversation sidebar (left): Shows all your past conversations. Click any thread to load it.
    • Chat area (right): Where you type messages and see responses.

    When you start a new conversation, the assistant may show suggested prompts to help you get started.

    What You Can Ask

    Scheduling

    • "Schedule 3 nurses for next Monday at the Downtown location"
    • "Show me the coverage gaps for next week"
    • "Create a draft schedule for April 7-13"
    • "Who is working this weekend at ClearPath Urgent Care?"

    Employee Queries

    • "How many hours has Sarah Thompson worked this month?"
    • "Which employees are available on Friday?"
    • "Show me all employees with the Nurse role"
    • "Who has pending time-off requests?"

    Coverage Analysis

    • "Are we fully staffed for next Tuesday?"
    • "Which locations are short-staffed this week?"
    • "What roles need more coverage on weekends?"

    Administrative Tasks

    • "What leave requests are pending approval?"
    • "Show me the timesheet summary for this week"
    • "List all active kiosk terminals"

    Conversation History

    All conversations are saved automatically. You can:

    • Start a new conversation by clicking the new thread button
    • Return to previous conversations by selecting them from the sidebar
    • Delete old conversations to clean up your history

    Agent Actions

    When the assistant performs actions that modify data (like creating a schedule or approving a request), it may require approval depending on your agent settings. You will see the proposed action and can approve or reject it before it executes.

    Tips

    • Be specific: "Schedule 2 nurses at Sunrise Family Medicine next Monday" works better than "make a schedule"
    • Ask follow-up questions: The assistant remembers the context of your conversation
    • Use it for quick lookups: Faster than navigating to multiple pages to find information
    • Review agent actions before approving: Always check that proposed changes match your intent
