    Setting Up Locations and Zones

    What Are Locations?

Locations represent the physical places where your team works, such as offices, stores, hospitals, or restaurants. Each location has its own schedule, zones, operating hours, and coverage requirements.

    Creating a New Location

The locations list showing all configured work sites

    1. Navigate to Locations from the main navigation
    2. Click New Location
    3. Fill in the location details:
      • Name (required): A recognizable name like "Downtown Office" or "Main Hospital"
      • Address (required): The physical address
      • Timezone: Defaults to your organization timezone. Change it if this location is in a different time zone.
      • Operating Days: Toggle which days of the week the location is open. At least one day must be selected. Defaults to Monday through Friday.
    4. Click Save to create the location

    What Are Zones?

Zones (also called sections or departments) are areas within a location. They help you organize scheduling by dividing a location into logical groups.

    Examples of zones:

    • Restaurant: Kitchen, Patio, Bar, Front of House
    • Hospital: ICU, ER, Pediatrics, Radiology
    • Retail: Sales Floor, Stockroom, Customer Service
    • Office: Engineering, Marketing, Support

    Adding Zones to a Location

    1. Open a location by clicking on it from the Locations list
    2. In the location overview, find the Zones section
    3. Click Manage Zones
    4. Type a zone name and press Enter to add it
    5. Remove zones by clicking the X on the zone badge

Every new location starts with a default "General" zone. You can rename or remove it.

    Editing a Location

From the location detail page, you can:

    • Edit the name by clicking the Edit button
    • Change the address
    • Update the timezone
    • Modify operating days
    • Add or remove zones

    Operating Days

Operating days define which days of the week the location is active. This affects:

    • Coverage requirements: Only operating days appear in the coverage matrix
    • Schedule views: Non-operating days are visually distinguished
    • Work pattern alignment: Patterns are validated against operating days

    Location Detail Sections

Each location has several sub-pages accessible from the sidebar:

Location detail page showing overview, zones, and operating days

    • Overview: Basic information, zones, operating days
    • Schedule: Coverage requirements and shift configuration for this location
    • Closure Dates: Define dates when the location is closed (holidays, special closures)
    • Danger Zone: Delete the location (irreversible)

    Tips

    • Start simple: You can always add more zones later. Begin with the main areas and refine as needed.
    • Use clear names: Zone names appear on schedules and reports, so pick names that everyone on your team recognizes.
    • One location per physical site: If you have multiple buildings or sites, create a separate location for each.

    Next Steps

After setting up locations, you should:

    1. Configure coverage requirements to define how many staff you need
    2. Set up distribution rules to control how staff are allocated across zones
