Timesheet Configuration
CrewHR provides several settings that control how timesheets behave across your organization.
Auto-Close Open Sessions
When employees forget to clock out, their time sessions remain open indefinitely. The auto-close feature automatically closes these sessions after a set period.
How It Works
CrewHR runs a background process that checks for open sessions. If a session has been open longer than the configured threshold, it is automatically closed.
This prevents sessions from accumulating unrealistic hours and keeps your timesheet data clean.
When to Use Auto-Close
Auto-close is recommended for organizations where:
- Employees frequently forget to clock out
- You want to maintain clean timesheet data without manual intervention
- Shift lengths are predictable (so an appropriate auto-close window can be set)
Break Configuration
Break tracking mode affects how breaks appear on timesheets. See Managing Shift and Break Templates for details on configuring break modes.
The break mode you choose impacts timesheets:
- Manual: Break times are recorded exactly as employees log them
- Automatic: Break durations are calculated based on shift length and deducted at clock-out
- Shortcut: Break durations match the preset options employees selected
Tips
- Enable auto-close if forgotten clock-outs are common: This saves you from manually closing sessions every day
- Set a reasonable auto-close window: Choose a time slightly longer than your longest shift to avoid closing sessions prematurely
- Review auto-closed sessions: Periodically check auto-closed sessions to make sure the actual work hours are captured correctly
