Creating Your First Schedule in 5 Minutes
Before You Start
Make sure you have completed the following setup steps. If you went through the onboarding wizard, most of these are already done:
- At least one location with zones set up
- At least one role created
- At least one employee added with a role and location assigned
- At least one shift template configured (CrewHR provides defaults)
Step 1: Set Coverage Requirements (2 minutes)
- Go to Locations and select your location
- Open the Schedule tab
- In the coverage matrix, enter how many of each role you need per day
- For example: set "3" for Nurses on Monday through Friday
This tells CrewHR what needs to be staffed.
Step 2: Create a Draft Schedule (2 minutes)
- Go to Schedule Builder
- Click Create Schedule
- Enter a name like "First Week Schedule"
- Select your location
- Pick the date range (e.g., next Monday to Sunday)
- Select the roles and employees to include
- Click through to the generation step
- Let the auto-scheduler fill in assignments, or add shifts manually
Step 3: Review and Publish (1 minute)
- Check the coverage metrics to see if all slots are filled
- Look for any gaps or conflicts
- Click Publish
- Toggle Notify staff if you want employees to receive a notification
- Confirm
Your schedule is now live. Employees can see their shifts in the employee portal.
What Employees See
After publishing, employees who have been invited to CrewHR can:
- View their assigned shifts on the employee schedule page
- See shift details including times, location, and zone
- Plan their week based on the published schedule
